Privacy policy

This policy explains what personal data SoftVolt AI collects through softvoltai.com, why, and what happens to it. It is short because we collect very little: the details you type into our forms, and the technical logs every web server keeps.

Who we are

SoftVolt AI (“we”, “us”) is a white-label production and growth studio for agencies, based in Dhaka, Bangladesh. We decide how the personal data described here is used, which makes us its controller. You can reach us about anything in this policy at hello@softvoltai.com.

What we collect

• When you send the message form on our contact page: your name and email address and, if you give them, your agency or company, phone number, the topic, a budget range, your message, and whether you want our NDA first.
• When you send the four-step brief: the kind of work and the platforms, any links you add (a Figma file or a live site, for example), your brief, deadline and budget range, your name, agency and email, whether you want our NDA first, and your consent to be contacted about the brief. Your browser’s time zone is added automatically so we can reply in your working hours.
• When you email us or book a call: whatever you choose to send, and the booking details our scheduling tool passes on.
• When you visit the site: our hosting provider records standard server logs — IP address, browser type, the page requested and the time — to keep the site running and secure.

Please do not send special-category data (such as health information), and please do not send your clients’ confidential information until an NDA is in place.

How we use it

• To reply to your message or brief and to prepare a scope and quote — our legitimate interest in answering a business enquiry, or steps you asked us to take before a contract.
• To deliver and manage a project if one follows — performing our contract with you.
• To keep the site working and secure and to stop spam — our legitimate interest. Both forms carry a hidden field that catches automated submissions, and Google reCAPTCHA scores each one; see “Spam protection” below.
• To meet legal, tax and accounting obligations.

We do not add you to newsletters or sales sequences, we do not sell your details, and we do not use them for automated decision-making or profiling.

Cookies and similar technologies

softvoltai.com sets no advertising cookies and no analytics cookies, and nothing on it follows you to other sites. What is stored is this:

• Your theme choice. If you switch between the light and dark theme, your choice is kept in your own browser’s local storage so the site remembers it. It is never sent to us.
• Your recent searches. If you use the search box, the last few things you searched for are kept in your own browser’s local storage so they are there next time. They are never sent to us.
• Spam protection. The pages with a form load Google reCAPTCHA, which sets its own cookies. See “Spam protection” below.
• Your cookie choice. Our consent banner stores what you chose, so you are not asked again on every page.
• Previews. Editors previewing an unpublished page receive a short-lived preview cookie.

Our fonts are served from our own domain, so loading a page does not send your IP address to a font provider.

Spam protection

The pages that carry a form — the contact page and the brief form — use Google reCAPTCHA v3 to tell a person from a bot without asking you to click anything.

To do that, Google receives your IP address, information about your device and browser, and how you moved through the page, and sets cookies in your browser. It returns a score, and we use nothing but that score: we never see the underlying data, and it is not used to profile you or to advertise to you. Google’s use of it is covered by its own Privacy Policy and Terms of Service.

We rely on our legitimate interest in keeping our forms usable and our inbox free of automated submissions. Both forms also carry a hidden field that catches bots without sending anything to anyone.

If you would rather not use reCAPTCHA, email us at hello@softvoltai.com instead — the address works just as well as the form.

Who else handles your data

We use a small number of providers who process data only to run their service for us:

• Vercel — hosts and delivers the website and carries form submissions to us.
• Northflank — hosts the content system our forms are delivered through.
• Google (Gmail) — the mailbox where enquiries and emails arrive.
• Google (reCAPTCHA) — scores form submissions to keep bots out, as described under “Spam protection”.
• CookieYes — shows the cookie banner and records what you chose.
• Resend — sends a form to us by email if the main delivery route is unavailable.
• Namecheap — our domain and email forwarding provider.
• Our scheduling tool — if you book a call, the booking is handled on its site under its own privacy policy.

The people on our team who work on your enquiry or project see what they need to, under confidentiality obligations. We share data with no one else unless the law requires it.

International transfers

We are based in Bangladesh, and our providers operate in the United States, the European Union and elsewhere. When your data moves between countries, we rely on the safeguards those providers put in place — such as the European Commission’s Standard Contractual Clauses and the UK International Data Transfer Addendum — and we move only what the service needs.

How long we keep it

• Enquiries and briefs that do not become a project: up to 24 months after our last contact, then deleted.
• Project correspondence and records: for the life of the engagement, then for as long as tax and accounting law requires.
• Server logs: for a short period, under our hosting provider’s own retention policy.

Your rights

Depending on where you live — including under the UK GDPR, the EU GDPR and US state laws such as the California Consumer Privacy Act — you may have the right to access the personal data we hold about you, to correct or delete it, to restrict or object to how we use it, to receive a copy in a portable format, and to withdraw consent where we rely on it. Email hello@softvoltai.com and we will answer within one month. We do not sell personal data or share it for cross-context behavioural advertising.

If you are in the UK or the EU and unhappy with how we handled your data, you can complain to the Information Commissioner’s Office or your local data protection authority — though we would like the chance to put it right first.

Security

Everything you send through the site travels over HTTPS, and access to our mailboxes and systems is limited to the people who need it. No method of sending or storing data is completely secure, but we work to protect yours and will tell you promptly if a breach affects it.

Children

Our services are for businesses. The site is not meant for children, and we do not knowingly collect data from anyone under 16.

Changes to this policy

When our practices change we update this page and the date at the top of it.
