n8n and workflow automation for agencies
We build workflow automation for agencies and their clients in n8n, Make or custom code, under your brand. Leads, CRM records and report data move on their own, and a failed run raises an alert instead of losing a lead.

Workflow automation, run the way agencies need it run.
AI and workflow automation that takes manual hours off an account.
Send the brief and a named producer turns it into a written scope: 6 deliverables, each priced, with the assumptions and the tools listed — n8n, Make, Node.js, Webhooks, HubSpot / Pipedrive, Google Sheets. Nothing is built until you have agreed that document, and the price on it is the price you pay.
It is the brief we see most often from full-service agencies, Google Ads & PPC agencies, digital marketing agencies. Everything ships under your agency's name — the staging link, the commits, the checklist and the handover — and your client never learns we were involved.

Workflow automation: what you get.
Every item here appears in the scope document with a price against it. Nothing starts until you approve it.
- 01Process audit: every hand-off, every re-key, every 'someone checks it on Fridays'
- 02Automations in n8n, Make or custom code, with retries and alerts
- 03CRM, form, ads and analytics integrations
- 04Data validation and deduplication rules
- 05Monitoring dashboard and monthly run report
- 06Runbook for the day something upstream changes
Workflow automation for agencies connects the tools a client already pays for, so data moves without anyone copying it by hand. We build it under your brand, document it for your account team and hand it over with every account in your name or your client’s.
What workflow automation for agencies covers
It covers any process where a person moves data between two systems. If someone re-keys it, checks it every Friday or forwards it between inboxes, it can usually be automated.
Typical briefs look like this:
- Website form and Meta lead form entries pushed into HubSpot or Pipedrive within minutes, deduplicated and assigned to an owner
- A signed proposal that creates the project, the shared folder and a draft invoice
- Monthly report data gathered into Google Sheets before the account manager opens it
- WooCommerce orders passed to the client’s accounting or fulfilment tools
- Your own agency’s onboarding and renewal steps, as well as your clients’ processes
Most of these need no AI at all. When a step involves reading free text, such as sorting enquiries by intent, it becomes part of our white-label AI automation service.
n8n, Make or custom code: how we choose
We pick the tool the client’s team can live with after handover, then check it against volume and data rules. The scope names the choice and the reason.
| Option | Fits when | Watch out for |
|---|---|---|
| n8n (cloud or self-hosted) | Many steps, branching logic, or data that should stay on infrastructure you control | Self-hosting means someone patches, monitors and backs up the server |
| Make | The client’s team wants to edit flows visually and volumes are moderate | Usage-based pricing rises with volume, so we model it at scoping |
| Custom Node.js code | High volumes, strict validation, or logic too complex for visual nodes | Changes need a developer, so it suits stable processes |
If the client already runs flows in another tool, tell us in the brief. Sometimes the right call is to fix what exists rather than rebuild it.
What makes a workflow safe to rely on
Error handling makes it safe. A workflow that fails quietly is worse than none, because everyone assumes the leads are still arriving.
Every workflow we hand over includes:
- Retries with a delay for temporary errors, such as a rate limit or a CRM timeout
- An alert to a named person when a run fails for good, with the record attached
- Duplicate protection, so a webhook sent twice creates one CRM contact, not two
- Checks on phone numbers, emails and required fields before anything is written
- A run log your team can search when a client asks where a lead went
Credentials for each connected tool sit in a shared vault, with the least access the workflow needs. Our security page explains how we handle them and how access ends at handover.
Pricing and where it fits
A one-off workflow gets a written scope and a fixed price within two business days of the brief. The number of systems, the state of their data and the error handling the process needs set that price.
Ongoing automation work fits our Premium plan, which includes AI automation, or Enterprise, which covers the full white-label suite. Tool subscriptions such as n8n cloud or Make are billed at cost or held in your accounts. Compare the plans on our rates page.
If the client’s leads come from a WordPress site, our free SoftVolt AI Voice Agent plugin sends each lead to an n8n webhook. It ships with a ready-made workflow that passes leads on to Google Sheets, a CRM or WhatsApp.

Questions agencies ask about workflow automation
01Can you work inside the client’s existing n8n or Make account?
Yes, and we prefer it, because the client keeps ownership of the workflows and the billing. We ask for a user with only the access the work needs, shared through a password vault rather than email. At handover we remove our access, confirm it in writing and leave a runbook so your team can support each workflow.
02Does workflow automation need AI?
Usually not. Moving, checking and deduplicating data is a rules job, and plain logic does it more cheaply and the same way every time. We add an AI step only where a workflow has to read free text, such as an enquiry or an email reply. A person then approves anything the AI writes before it reaches a customer.
03What happens when a connected tool changes its API?
The workflow alerts a named person instead of failing in silence, and the runbook lists what to check first. Upstream changes are covered by your monthly plan or quoted as a small fixed-price change. Defects in our own work, inside the agreed scope, are fixed at our cost.
04Can you automate our agency’s own processes?
Yes. Your onboarding, reporting and renewal steps are workflows like any other. For example, a renewal alert can reach the account manager well before a client contract ends, with the latest figures attached. The same rules apply: a written scope, a fixed price, and accounts that stay in your name.
05Can a workflow send CRM outcomes back to Google Ads or Meta?
Yes. A workflow can send qualified or closed leads from the CRM back to the ad platforms, so bidding learns from real outcomes. It depends on consent and on capturing click identifiers when the form is submitted. We scope it alongside our analytics and conversion tracking work.
